QuickBooks Basic Payroll and QuickBooks Online are not compatible. QuickBooks Basic Payroll is designed specifically for QuickBooks Desktop and cannot sync with or connect to QuickBooks Online.
Why They Don't Work Together
QuickBooks Basic Payroll is a desktop-only payroll add-on. It integrates directly with QuickBooks Desktop (Pro, Premier, or Enterprise) and relies on the desktop application's local data file. QuickBooks Online is a cloud-based platform with its own separate payroll system, so the two products cannot exchange data.
What to Use Instead
If you are using QuickBooks Online and need payroll functionality, subscribe to QuickBooks Online Payroll. This is Intuit's payroll service built specifically for the online platform. It integrates directly with your QuickBooks Online account and handles:

- Direct deposit
- Tax calculations and filings
- W-2 and 1099 preparation
QuickBooks Online Payroll is available as a separate subscription added to your QuickBooks Online account.
