Can You Have Two Accounts in One QuickBooks?

How to manage multiple companies or accounts within a single QuickBooks setup.

Overview

Yes, it is possible to manage multiple accounts or companies within QuickBooks. The method depends on whether you are using QuickBooks Online or QuickBooks Desktop.

QuickBooks Online

In QuickBooks Online, each company requires its own separate subscription. However, you can manage multiple subscriptions under the same Intuit account login. This means:

  • You sign in once and can switch between companies from the dashboard.
  • Each company subscription is billed separately.
  • Your data for each company is kept completely separate.

To add another company, sign in to QuickBooks Online, click your company name at the top, and select Add another company. You will need to set up a new subscription for the additional company.

QuickBooks Desktop

In QuickBooks Desktop, you can create multiple company files within the same installation. Each company file (.QBW) operates independently with its own chart of accounts, customers, vendors, and transactions.

To switch between companies, go to File > Open or Restore Company and select the company file you want to work with.

Tips

  • Keep your companies organized by using clear, descriptive file names for each company file (Desktop) or company name (Online).
  • If you are an accountant managing multiple client files, consider QuickBooks Online Accountant or QuickBooks Desktop Accountant, which are designed for managing multiple companies efficiently.
