How to Receive a Payment in QuickBooks Online
Steps for recording a customer payment in QuickBooks Online, including tips for navigating the payment window.
Overview
Recording customer payments in QuickBooks Online is done through the Receive Payment feature. This applies payments against outstanding invoices and updates your accounts receivable.
How to Receive a Payment

Click + New in the left navigation panel.

Select "Receive Payment" under the Customers section.

Choose the customer -- Select the customer making the payment from the dropdown list.

Select the payment method -- Choose how the payment was received (check, cash, credit card, bank transfer, etc.).

Enter the payment amount -- Type the total amount received.

Apply the payment to invoices -- QuickBooks will display outstanding invoices for that customer. Check the box next to each invoice the payment should be applied to.

Save the payment -- Click Save and Close (or Save and New if you have more payments to record).
Troubleshooting: Buttons Not Visible
If you cannot see the Save button or other controls in the Receive Payment window, try scrolling to the right. The QuickBooks Online interface uses fixed positioning, and on smaller monitors some buttons may be positioned off-screen to the right. Expanding your browser window to full screen can also help.
Tips
- If a customer overpays, you can record the excess as a credit to apply to future invoices.
- Make sure to record the payment deposit to the correct bank account (check the "Deposit to" field at the top of the payment window).
- Regularly reconcile your bank account to ensure all recorded payments match your actual bank deposits.
