How to Get Old Transactions from Your Bank Account into QBO

Steps to manually upload historical bank transactions into QuickBooks Online when automatic bank feeds do not go back far enough.

Overview

QuickBooks Online's automatic bank feed typically imports only 90 days of transaction history when you first connect your bank account. If you need older transactions, you can manually upload bank statement files that you download from your bank's website.

Steps to Upload Historical Transactions

  1. Download transactions from your bank -- Log in to your bank's website and download your transaction history for the period you need. Most banks offer downloads in CSV, QBO, OFX, or QFX format.

  2. Go to Banking in QuickBooks Online -- Click Transactions on the left sidebar, then select Banking (or Bank Transactions).

  3. Click the Upload button -- In the upper right area, click the Update dropdown arrow and choose File Upload.

  4. Select your file -- Click Browse and select the transaction file you downloaded from your bank.

  5. Follow the on-screen instructions -- Map the columns if needed (especially for CSV files), select the correct bank account in QuickBooks, and confirm the import.

Tips

  • Check with your bank to see how far back they allow transaction downloads. Some banks provide up to 18 months of history, while others may offer more.
  • Use QBO, OFX, or QFX formats when available, as these require less manual column mapping than CSV files.
  • After uploading, review the transactions in the For Review tab to categorize and match them before adding them to your books.
  • Be careful not to upload overlapping date ranges, as this can create duplicate transactions.
