How to Change a User Email to a Non-User Email in QuickBooks Online

How to update or replace a user's email address in QuickBooks Online by adding a new user with the desired email.

Overview

In QuickBooks Online, you may need to change a user's email address to one that is not currently associated with any QuickBooks account. The process involves adding a new user with the desired email address through the Manage Users settings.

How to Change the Email

  1. Click the Gear icon in the upper-right corner of QuickBooks Online.

  2. Click "Manage Users" to see the list of current users.

  3. Add a new user -- Click the button to add a user.

  4. Select the user access level -- Choose the appropriate permission level (Standard, Company Admin, Reports Only, etc.) and click Next.

  5. Enter the new email address and name -- Type the email address you want to use and the user's name, then click Next.

  6. Complete the setup -- Follow the remaining screens to configure any additional settings, then click Finish to add the new user.

  7. Remove the old user (if needed) -- If you are replacing a user's email entirely, you can delete the old user account from the Manage Users screen after confirming the new user has access.

Important Notes

  • QuickBooks Online does not allow you to directly edit an existing user's email address in all cases. Adding a new user with the correct email and removing the old one is the standard workaround.
  • The new user will receive an invitation email to set up their QuickBooks access.
  • Make sure to assign the same permissions to the new user that the old user had.

Tips

  • Before removing the old user, verify that the new user can log in and access everything they need.
  • If the old user is the master admin, you will need to transfer the master admin role before making changes.
